Position Characteristics: o The Administrative Assistant reports to both Direct Manager and Administrative Manager and is responsible for providing administrative and clerical services. o Providing these services in an effective and efficient manner will ensure that municipal operations are maintained in an effective and efficient manner. Duties and Responsibilities: o Direct the general public correspondence to the appropriate staff member/partner(s) and attending the mail committee daily meeting to ensure the correct flow of mail to the right person in a timely manner. o High quality word processing, typing speed, proofreading and editing a variety of reports, correspondence and documents. o Logging and distributing incoming correspondence. o Independently drafting memoranda, letters and faxes. o Maintaining schedules and/or appointments; arranging meetings and disseminating relevant information or material. o Making travel arrangements. o Retrieving/extracting information from various sources, including magazine publications, library and the internet as necessary. o Establishing and updating/maintaining files, including the division’s files and Lawyers’ files. o Providing backup support to other Matouk Bassiouny staff when required. o In close collaboration with Lawyers, assist in preparing briefing materials and presentations and maintain background information and briefing materials. o Handle written and verbal requests from internal and external clients; o Do any tasks that may be assigned.
Qualifications o Knowledge of and orientation to the philosophy of the office as presented in Mission/Philosophy statements. o Ability to establish and maintain a positive and professional relationship with co-workers, clients and visitors; cultural sensitivity and ability to relate well and effectively in diverse workplace and with a diverse client population. o Typing ability at required speed and accuracy. o Considerable knowledge of business English, spelling and punctuation, office practices and procedures. o Ability to organize, efficiently document and routinely update information; ability to apply procedures to work problems and situations. o Familiarity with current Windows operating systems (as applicable) and proficiency in required software, including currently supported versions of Windows applications such as Word, Excel, etc. o Ability to operate and trouble-shoot general office equipment (e.g., copier, fax, calculator, etc.)
